2021/7/1
Elite Japanese Language School
School Principal Nishi Shinjiro
In order to prevent the spread of the covid-19, the July school term will be carried out according to the following guideline. We kindly ask for the cooperation and the understanding of all the students as well as the teaching staff.
For details on the treatment of the infected as well as those who have kept a close contact with an infected person, please refer to the guideline “treatment of the infected and those in close contact with the infected”.
I. School and Work Attendance
① Both the students and teaching staff are to measure their temperature and thoroughly assess their physical condition prior to coming to school. Those with a fever exceeding 37.5°C (99.5°F) are to contact school and rest. As a proof of their symptoms, students are to send a picture of a thermometer indicating their body temperature as well as their student card to school. In this case, non-attendance will be considered as “unavoidable circumstances due to illness” and therefore will not be treated as absence. However, if the symptoms go on for 3 days, students must immediately receive treatment in a medical institution. In the case of not complying with these instructions, this will be regarded as a normal illness and therefore, treated as absence. Furthermore, students whose authorized absence is too frequent will not be regarded as suitable to study abroad. These students will be temporarily dismissed from school and advised to receive medical treatment in their home country, so we ask students to be very careful about their physical condition. The absence permission letter will be issued on behalf of the student by the office staff and will be stated in the timecard. When returning to school, the student’s condition will be verified. In the case of a teaching staff member, teachers must contact the head of school affairs and immediately request for a substitute lecturer.
② Students are to perform a temperature check at each of the school buildings prior to punching in, and in the case of having a fever exceeding 37.5°C (99.5°F), will return home and rest. The rules of the preceding paragraph shall apply for the attendance record of said students.
③ Students with underlying medical conditions whose critical condition is concerning in the case of contracting the covid-19 virus will have a doctor issue a medical certificate as well as a notification of suspension of school and are to be taking lessons online.
④ Students who are concerned of the possibility of infection in crowded places such as the rush hour train or the bus will not be considered late if they attend before the first class of the morning ends (9:45 am). However, this rule will not be applied to students who walk to school.
⑤ All of the staff members and students are required to wear a mask when attending school. Masks are to be worn at all times and the school will provide them to those who could not purchase one. In the case of having difficulty wearing a mask due to an illness, a face shield will be provided instead.
II. About the facilities
① A thorough disinfection of the hands will be required using the disinfectant sprays located in the entrances, classrooms, counters and toilets of each school building.
② As a general rule, all of the windows in each of the classrooms and conference rooms will be opened at all times for ventilation. The doors will also be opened to the extent possible.
③ Places that are touched by many people’s hands such as doorknobs, banisters, remote controls, switches, water filters, faucets, tables, teacher’s desks, etc. will be cleaned more than once a day using alcohol disinfectant.
④ In the classrooms, a transparent film will be hanged between the teachers and the students in order to prevent droplet infection.
⑤ By the same token, a transparent film will also be hanged in places where face-to-face encounters might take place such as the teacher’s lounge, office rooms, conference rooms, reception etc. An acrylic board will also be used in places where face-to-face work might take place to prevent droplet infection.
⑥ For the meantime, the use of the student’s private study room will be prohibited.
⑦ For the meantime, the school building No.1 library, as well as the school building No. 3 “guidance for further education” room 302, will be used as a secondary lecture room, and as a workspace after the morning lessons are over.
⑧ Students will not be allowed to use the elevator, and the school staff should be careful not to use it when crowded.
⑨ Be careful not to speak directly face-to-face in the smoking area.
III. About the lessons
① During lessons, both the teachers and students are to be wearing a mask at all times.
② The classes will be divided between groups A and B, and each group will attend school every other day. Students will be taking lessons online on the days the group they belong to is not attending school.
③ Enough space should be kept between seats and no one should sit right next to each other.
④ Activities that involve the verbal participation of all the students such as the repetition of certain passages will be avoided for the time being.
⑤ Activities that involve face-to-face interaction such as pair-work or group-work will be avoided for the time being.
⑥ When giving a speech or presentation, students will be asked to perform in front of the class from the teacher’s side.
⑦ When walking around the classroom to monitor students, teachers are to keep the guidance to a minimum and be careful not to speak loudly.
IV. About online lessons
① When attending class online, those who are late or go away during the middle of a class will be admonished, therefore students are to log in on time and attend all four lessons. All the electronic devices used for those lessons must be connected at all times to a power supply to prevent them from turning off, and must be located in a place with access to the internet. Immediately contact school in case of having issues with your internet connection.
② Online lessons will be broadcasted from the classrooms. In order for the lessons to be interactive, students must participate with a video-camera on showing their face. When prompted by a teacher, students are to reply immediately using a microphone.
③ Students will be admonished when actions that are considered to hinder the lessons take place, such as whispering or chatting.
④ It is strictly prohibited to take pictures or videos of the broadcasted lessons. If such an action takes place, it will be punished according to law. Students will be allowed to take a screenshot of the teaching materials only in the case of having the permission of an instructor.
⑤ Students are to keep good manners at all times and be aware that online lessons are the same as face-to-face lessons in school. For details consult the section “regulations of online lessons”.
⑥ New students starting July 2021, will be taking online lessons until the immigration restrictions are lifted and the entrance to Japan is possible.
V. About the entrance ceremony and school events
① The entrance ceremony will be held online due to the ongoing immigration restrictions.
② Orientation will also be held online.
③ Placement tests will also be held online, therefore a written examination will not be taking place.
④ Teacher gatherings will not be taking place. When necessary, these will be held online using services like zoom.
⑤ All of the extracurricular lessons that were not carried out last semester because of the state of emergency will be held on July taking due precautions.
VI. About student guidance
① The use of the student guidance room will be kept to a minimum. Students will be asked to use services such as the online student guidance room, LINE student guidance and the Elite Japanese Language School student guidance YouTube channel to make the necessary preparations.
② One-on-one private guidance will be kept to a minimum and will be held through online services such as zoom to the extent possible. When holding an offline face-to-face guidance, both the student and the instructor are to be wearing a mask at all times. The guidance will be held at a place provided with an acrylic board and a transparent film, and should not take longer than 15 minutes.
VII. Other
① For the meantime, students will not be allowed to have meals on school grounds.
② Both the students and teachers must immediately return home after the end of class, and will not remain in school unnecessarily.
③ Both students and teachers must be careful and take due precautions in the case of visiting places with a high rate of Corona clusters such as event venues, movie theaters, indoor exhibition halls, pachinko parlors, karaoke lounges, sports gyms, izakaya bars, clubs, etc.
④ Refrain from going on trips or returning to your country temporarily unless absolutely necessary. Absence or online participation on school days for such reasons will not be accepted.
